1. Objective
Social media offers tremendous opportunities to build and maintain relationships with patients, stakeholders, and the broader community. However, to ensure the proper use of social media in line with the values and reputation of JJ Plus Hospitals, this Social Media Policy (“Policy”) outlines guidelines for employees, doctors, consultants, vendors, and any other authorized individuals (collectively referred to as "representatives"). This Policy ensures responsible, professional, and authorized use of social media platforms while safeguarding the hospital’s integrity and confidentiality.
Representatives authorized to use social media for work-related purposes must adhere to this Policy. For personal use, representatives must follow the outlined guidelines to avoid negatively impacting the Hospital's image.
2. Scope
This Policy applies to all employees, doctors, consultants, vendors, contractors, trainees, and interns associated with JJ Plus Hospitals. It governs both business and personal use of social media, whether during working hours, off-duty, or while using the Hospital’s infrastructure.
3. Policy
3.1 Social Media Platforms Covered
This Policy applies to platforms such as, but not limited to:
- Social networks (e.g., Facebook, Instagram, LinkedIn, X/Twitter)
- Visual platforms (e.g., YouTube, Flickr)
- Professional networks (e.g., LinkedIn)
- Review platforms (e.g., Google Reviews, Mouthshut)
3.2 Authorized Use of Social Media
Hospital representatives authorized to use social media for professional purposes may do so to:
- Respond to inquiries from patients and stakeholders.
- Promote services, campaigns, and health initiatives.
- Share updates, achievements, and relevant health information.
Authorized representatives must ensure accuracy and transparency in all communications while avoiding exaggerated or misleading statements. For example:
- Appropriate: "JJ Plus Hospitals offers advanced cardiology care with state-of-the-art facilities."
- Inappropriate: "JJ Plus Hospitals is the best hospital in the world."
3.3 Personal Social Media Use
- Representatives may reshare Hospital posts without altering their language, context, or intent.
- When using personal accounts, they must clearly state that their views are personal and do not reflect the Hospital's official stance.
- Posting patient information, confidential data, or unverified claims about the Hospital is strictly prohibited.
3.4 Protecting Confidentiality
Representatives must never share:
- Patient details or sensitive business information.
- Internal hospital documents or policies.
- Unauthorized photos or videos taken within the Hospital premises.
3.5 Legal Compliance
- Representatives must abide by intellectual property laws and avoid copyright or trademark infringements.
- Refrain from defamatory, discriminatory, or obscene posts.
- Avoid sharing rumors or unverified information about the Hospital or its stakeholders.
3.6 Professional Conduct
- Representatives should not use personal accounts to criticize or defame the Hospital, colleagues, or patients.
- Comments should remain respectful, avoiding provocative or offensive language.
3.7 Approval Process for Social Media Posts
To post photos, videos, or other materials featuring the Hospital’s brand, logo, or events:
- Submit a written request to the Hospital’s Communications Team at least 48 hours in advance.
- Obtain explicit written approval before posting.
4. Guidelines
4.1 General Principles
- Representatives should familiarize themselves with platform rules and policies before posting.
- Avoid posting content that may harm the Hospital’s reputation.
4.2 Handling Sensitive Issues
- Redirect complex patient queries or complaints to appropriate channels, such as email or phone.
- Avoid engaging in heated debates or arguments on social media.
4.3 Security Awareness
- Be vigilant about phishing or malware attempts via social media platforms.
- Do not use work email addresses to register personal accounts on social media.
5. Reporting and Enforcement
5.1 Reporting Violations
- Report inappropriate content or activity related to JJ Plus Hospitals to the Communications or HR Team.
- Violations of this Policy must be escalated promptly for review and action.
5.2 Monitoring and Auditing
- The Hospital reserves the right to monitor representatives' use of social media on its infrastructure or accounts.
- Any data or content created, shared, or accessed via the Hospital's network is subject to review and may be disclosed for legal purposes.
5.3 Disciplinary Actions
Violations of this Policy may result in:
- Disciplinary action, including termination of employment or contracts.
- Legal consequences, including involvement of law enforcement authorities, for severe breaches.
Examples of violations include:
- Posting misleading or defamatory information.
- Sharing confidential data.
- Misusing the Hospital’s logo, brand, or trademarks.
6. Power to Amend
JJ Plus Hospitals reserves the right to amend or withdraw this Policy at its sole discretion without prior notice. Representatives are expected to stay informed of any updates.
